Who is responsible

Mallikarjuna Stones Ltd (UK company number 17314931) is the controller for the data described here. Enquiries about this notice, or any request to exercise the rights set out below, should go to our UK office by email at sales@mallikarjunastones.co.uk and will be answered within one calendar month.

What we collect

• Contact and company details: name, role, company, email, telephone, delivery address.
• Enquiry content: stone, finish, quantities, delivery port, project name, timescales and any notes you add.
• Account and order records: quotations, purchase orders, packing lists, invoices and shipping documents.
• Technical logs: IP address, browser type and pages visited, used to keep the site available and secure.

We do not ask for special-category data, and we do not knowingly collect information about anyone under 18. Do not send us personal data you do not need us to have.

Lawful basis

• Legitimate interests — responding to a trade enquiry, arranging samples, preparing quotations and maintaining a record of who asked for what. You approached us in a business capacity and we limit use to that purpose.
• Contract — everything necessary to price, produce, pack, ship and invoice an order once a purchase order is raised.
• Legal obligation — retaining accounting, customs and export records.
• Consent — trade newsletters and product bulletins, where you opted in. You can withdraw consent at any time using the unsubscribe link.

Who we share it with

Order data is shared with the parties needed to move stone: our quarry and polishing yard team in Karnataka, our freight forwarder and customs agent, the shipping line, UK haulage contractors, and our accountants. Website and email are hosted by third-party providers acting on our instructions. We do not sell data or share it for advertising.

Because our production is in India, order and contact data is transferred outside the UK. Those transfers rely on the International Data Transfer Addendum to the EU standard contractual clauses.

How long we keep it

• Unconverted sample and quotation enquiries: 24 months from last contact.
• Catalogue and datasheet notification records: 24 months.
• Order, shipping and accounting records: seven years from the end of the financial year, as required for tax and customs.
• Marketing consent records: for as long as consent stands, plus two years.

Cookies

This site sets no advertising or cross-site tracking cookies. Only strictly necessary storage is used, to keep forms working. If we later add analytics we will ask for consent first and list the cookies here.

Your rights

You may ask for a copy of your data, ask us to correct it, ask us to delete it where we have no continuing legal or contractual reason to keep it, object to processing based on legitimate interests, ask us to restrict processing while a dispute is resolved, and request portability of data you provided. We do not carry out automated decision-making or profiling.

If you are not satisfied with our response you can complain to the Information Commissioner’s Office at ico.org.uk.

Security and changes

Access to enquiry and order records is limited to staff who need it, accounts are protected by multi-factor authentication, and data in transit is encrypted. Where this notice changes materially we will tell trade-account holders by email.
